The Administrative Coordinator contributes to the day-to-day operations of the Sanofi Canada office, and supports the work of the Franchise Head and other members of the RARE Franchise. The candidate must be a highly motivated individual who is a self-starter. They need to possess the ability to understand our business and look beyond the task at hand relative to a position, department and company.

Key Responsibilities:

This individual will be involved in the following areas and will perform detailed job functions:

Administrative Support – Primary

  • Provide dedicated administrative support to the RARE Franchise and Brand Teams.

  • Prepare and/or process and track required documents related to Franchise financial transactions (e.g. purchase orders, honoraria, invoices, grant requests).

  • Achieve advanced understanding of the financial systems (Coupa, eBuy, eContract, Financial Tools etc..) and the associated usage requirements that are used to efficiently manage financial processes.

  • Identify and trouble-shoot issues related to any step of the financial management systems.

  • Coordinate submissions and the necessary follow up related to the required approval of promotional materials.

  • Collaborated with cross-functional team including Medical, Marketing, Pharmacovigilance, Procurement and vendor representatives to ensure seamless team operations.

Administrative Support – Secondary

  • Provide administrative support to the National Sales Managers, Marketing Leads and Field Representatives.

  • Assist in planning and organizing internal and external business related meetings, advisory boards, symposiums, conferences, program events, etc.

  • Investigate, coordinate and arrange for hotel accommodations and services, meals, transportation, communications and facilities support, program functions and similar activities to support internal and external meetings.

  • Assist directly or indirectly with the booking of travel for employees and external customers including KOLs.

  • Assist in the preparation and shipping of promotional booths to and from meeting locations.

  • Receive, store and track inventory of all promotional items for assigned brands.

  • Through interfacing with customers, receive orders, prepare and distribute antibody biomarker testing kits.

  • When required, implements larger-scale direct mailings to a defined customer list.

  • Coordinate the on-boarding of new team members within the RARE Franchise.

  • Contributes to organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Key Requirements:

  • Proficiency in MS Office - WORD, PowerPoint & Excel

  • Proficiency in Adobe Illustrator and Canva an asset

  • Post-Secondary Education (preferred)

  • 3 - 5 years of successful administrative support experience

  • Bilingualism (English & French) is an asset

  • Excellent written and verbal communication skills

  • Strong organization and prioritization skills

  • Attention to detail

  • Works with minimal supervision

  • Supportive, shows initiative and self-starter

  • Ability to work independently and make decisions in supporting the department, showing good judgment and understanding of the internal processes and objectives.

  • Ability to manage multiple projects with skill and quality and be the central support resource for the RARE Franchise.
