Senior Administrative Assistant - Global Dermatology and Respiratory

Job Title: Brand Coordinator - Global Dermatology and Respiratory

Position Overview/Key Responsibilities
Position Summary:
The Senior Administrative Assistant will report to Head of Global Medical Immunology and will be responsible for supporting the TA Leads for Dermatology and Respiratory. This role requires a high level of administrative skill and technical competence as the organization is complex, global and has many internal and external senior partners. Strong oral and written communication skills, flexibility and the ability to manage multiple tasks of equal/varying priorities are essential. Responsibilities will include but not be limited to booking and managing national and international travel, expense reporting, organizing meetings and social events. The ability to maintain a high level of confidentiality is critical.
Role Responsibilities:
Provides administrative support to the TA Leads for Global Dermatology & Respiratory requiring an advanced knowledge of department functions and division/business unit functions.
Heavy Calendar management, travel arrangements, expense management, and all other administrative support.
Manages multiple, sometimes conflicting, priorities in a fast-paced and demanding environment.
Pro-actively manages domestic and global meeting logistics and arranges domestic and international travel, ensures efficient processing of expenses.
Prioritizes and executes tasks with minimal direction or supervision. Maintains a high level of confidentiality at all times.
Interfaces with staff and senior level executives, external partners and consultants. Ensures smooth and efficient flow of day-to-day operations.
Takes initiative and independently manages special/administrative projects in dynamic fast paced environment.
Responds to various inquiries for information according to general guidelines. Strong written and oral communication skills necessary.
Manages communications as requested, including telephone calls, meeting planning, and email messages.
Schedules meetings/reserves conference rooms (including TC/ADOBE/VTC/SKYPE)
Responsible for providing overall clerical support as necessary, including filing, faxing, copying, and all other administrative duties
Basic Qualifications:
High School Diploma or GED and 5+ year's administrative experience
Proficiency in using computer technology including the Microsoft Office Suite (Outlook, Excel, PowerPoint, Word and others)
Preferred Qualifications
Bachelor’s Degree strongly preferred or Secretarial Certificate
Experience with SharePoint content administration
Experience supporting senior-level business leaders in a pharma or biotech environment
Familiarity with pharma industry and Business organization in particular
Excellent verbal and written communication skills
High ethical standards, maintenance of confidentiality
Ability to prioritize effectively
Ability to navigate organization with minimal direction, in support of completing task
Strong initiative, tact, communication and interpersonal skills a must
