Responsibilities

The Senior Administrative Assistant, Rare Disease will report to the General Manager, Rare Disease Nation. They will also provide support for the Head Sales and Head Franchise Operation.  The position requires the ability to manage within a complex, fast paced, fun and dynamic environment.  This position will be based in Cambridge, MA.

JOB RESPONSIBILITIES:

  • Provides administrative support requiring an advanced knowledge of department functions and division/business unit functions

  • Manages all communications as requested, including telephone calls, meeting planning, e-mail messages, and internal and external mail

  • Responsible for heavy calendar management, coordination of meetings, travel arrangements, expense management and processing, creating PowerPoint presentations, coordinating monthly reporting, use of Excel spreadsheets and ordering equipment, etc.

  • Support travel and expense coordination and reconciliation

  • Assists in creating and managing communications and documents that may contain highly confidential information

  • The position will require flawless discretion and judgment in handling confidential material and information

  • Oversees organization and maintenance of department filing system including potentially confidential data

  • Strong coordination with other executive-level assistants required

  • Active engagement with internal support departments such as, ITS to ensure technology is not a barrier to execution.   

  • Contribute to the organization of key yearly events (townhalls, POA, etc.)

 SKILLS AND REQUIREMENTS:

  • Proven ability to work independently, highly organized and effective in handling multiple detail-oriented projects in a fast-paced environment

  • Strong communications and interpersonal skills and a team player/highly collaborative

  • High attention to detail and precision in creating reports, correspondence, and/or presentations

  • Strong administrative and computer skills, specifically MS Office (PowerPoint, Excel and Word, Teams); MS Outlook

  • Ability to interact with various levels of business functions and professionals in and outside organization

  • Constantly seeks, designs and implements improvements on administrative procedures

  • Ability to interact with all employees within the organization, including senior management, and to respond effectively to the needs of the business is required

BASIC QUALIFICATIONS:

  • The successful candidate will have a minimum of 5 years of related administrative work experience, supporting senior level personnel and a minimum H.S. diploma or equivalent

PREFERRED QUALIFICATIONS:

  • Experience providing senior level administrative support within the pharmaceutical or biotech industry, highly desired

  • Experience with confidential or proprietary information expected
